Administrator Checklist

What is an Administrator's Checklist?

This document intends to help MYOB Practice Management site Administrators quickly understand and then make quality decisions about changes to security objects, system options, and other configuration items.

The items that need attention are included in three main sections:

  • Security Object changes - [Cogs Icon] -> Administration -> Security Maintenance

  • System Option changes - [Cogs Icon] -> System Options

  • Other changes - where other changes that need attention have occurred.

The tables below explain what the change is, where it can be found, what happens if you enable the setting, what happens if you do nothing, and a link to the Release Notes.

Security Object Changes

These are items in Security Maintenance that have been added, removed, or changed in this release:

Advanced Search – Export to Excel

Automatically granted to all roles that already have Advanced Search access

Users can export Advanced Search reports to Excel. 

Export action is logged

Users cannot export Advanced Search results.

Remove from roles where bulk data extraction should be restricted.

Options

Apply Secure View restrictions to Timesheets

Added

Client and Task lookups on Old Style Timesheets, Calendar Style Timesheets, and the TS Widget all respect Secure View restrictions. Users cannot log time against clients they are restricted from seeing in reports — closing a gap that previously existed.

Timesheets are unaffected by Secure View. 

Users can log time against any client regardless of their Secure View configuration.

AutoNumbers

Use Recurring Billing Template Code AutoNumbers

A unique reference code is automatically generated each time a client assignment is saved or edited in Recurring Billing templates.

Template codes must be entered manually for each client assignment.

Add Default Monthly Chargeability

Set once at the category level to apply a default chargeability target (as a percentage or total hours) to all employees in the category. When Auto Calculate is run in Employee Budgets, budgets update using these values. Employees who already have a custom value set at the individual record level are skipped when a category-level default is applied.
